Powerpoint: Tips & Tricks for managers

Tip 1: To links presentations to the e-mail address

Select the object (text or graphic) you want to turn into a hyperlink.

Right-click the object and choose Action Settings from the pop-up menu.

From the Action Settings dialog box displayed, click Hyperlink to: and pick the URL from the drop-down list box.

From the Hyperlink To URL dialog box pop-up, type your email address into the text box using this format: mailto: address@domain.com (Example: mailto:steven@yahoo.com)

Click OK twice to close the window.

Tip 2: To change PowerPoint's default file location

From the Tools menu, then click Options.

Click the Save tab.

In the Default file location text box, enter the complete drive and path to the folder where you'd like to store your presentations. Make sure that the folder has already been created before you do this.

Click OK.

Tip 3: To tweak the placement of a graphic

Select the graphic or text box.

Press and hold down the Ctrl key.

Use the arrow keys to move graphic or text up, down, right, or left.

Tip 4: To embed TrueType fonts

Create you presentation as normal.

From the File menu, click Save As command.

From the Save As dialog box, click on the Tools icon drop down menu and select Save Options.

From the Save Options dialog box, select the Embed TrueType fonts command.

Click OK.

Note: This can make your presentation to display the current font even when used on a different PC that does not have the fonts you have used installed locally.

Tip 5: To compress and optimize presentation (ppt) to decrease the file size

Open your PowerPoint presentation. Click File Menu and then Save as.

From the save dialog box, click the Tools drop down menu and select Compress Pictures.

From the Compress Pictures dialog box, select All pictures in document.

In the Change resolution section, select Web/Screen unless you need to be able to print the presentation in high quality.

In the Options section, select Compress pictures and Delete cropped areas of pictures.

Click OK.

Confirm that you want to Compress Pictures (if the dialog appears).

Save the presentation to a new file name.

Click Save.

Tip 6: To jump to a particular slide in PowerPoint slide show

Just type the number of the slide and press the Enter key.

OR

Right-click the screen, point to Go, point to By Title, then click the title text of the slide you want.

Tip 7: To get additional guides

From the View menu, click Guides.

Click and hold down the Ctrl key while you drag an existing guide to a new position.

Tip 8: To Slide Shows in a mini-window

Hold down the Ctrl key while you click the Slide Show icon.

PowerPoint displays your slide show in a small window rather than full screen.

When you find something you'd like to change, click back in the main PowerPoint window.

The screen show window minimizes itself onto the Windows Taskbar.

Do the necessary changes then click the Slide Show icon again to resume your mini-show with your most recent changes in place.

Tip 9: To enter the text - Fast way

Start a new presentation or insert a new slide into an existing one.

Press Ctrl+Enter, this automatically selects the Title placeholder for editing. Enter your title text.

Press Ctrl+Enter again, this selects the Body Text placeholder for editing. Enter your body text or bullet points.

Press Ctrl+Enter again, since there are no more text placeholders on the current slide, this creates a new slide and selects the Title placeholder for editing, so you can begin entering the new title text immediately.

Tip 10: To remove all the rehearsed timings recorded before

Switch to Slide Sorter view.

Press Ctrl+A to select all of the slides.

From the Slide Show menu, click Slide Transition.

From the Slide Transition dialog box displayed, in the Advance section, set the Automatically After to zero.

Click Apply to All button to remove timings from all of your slides at once.
